1. Information we collect

Information you give us

  • Contact details, your name, business name, email address, postal address and telephone or mobile number.
  • Project information, the content of briefs, enquiries and messages you send us, including any documents, decks, data or files you share for a project.
  • Billing information, billing name and address. Card details are collected and processed directly by our payment processor; we do not store full card numbers.

Information collected through our services

  • Call data, where you use our AI receptionist service, we process calling and called telephone numbers, call times and durations, transcripts of calls, and any information a caller provides during a call.
  • Message data, the content and delivery status of SMS messages sent or received through our service, and opt-in and opt-out records.
  • Consent records, a record of when and how you or a caller gave consent to be contacted, retained so we can demonstrate compliance.

Information collected automatically

  • Usage data, pages viewed, referring page, approximate location derived from IP address, browser and device type. We use privacy-friendly analytics and do not build advertising profiles.
  • Essential cookies, strictly necessary cookies used to operate the site. We do not use third-party advertising or cross-site tracking cookies.

2. How we use information

  • To respond to your enquiry and provide a quote.
  • To deliver, support and improve the services you have engaged us for.
  • To operate the AI receptionist service on your behalf, including answering calls, booking appointments and sending you summaries.
  • To send transactional messages about your project or account, including appointment confirmations and service notifications.
  • To take payment and keep accounting records.
  • To comply with legal, regulatory and telecommunications carrier obligations.
  • To protect our services against fraud, abuse and misuse.

We do not use your information for automated decision-making that produces legal or similarly significant effects, and we do not sell personal information.

3. Text messaging and mobile information

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All other categories of information may be shared only as described elsewhere in this policy. Text messaging originator opt-in data and consent will not be shared with any third parties.

We send SMS messages only to people who have given express consent to receive them . For example, by ticking the consent box on one of our forms, or by giving a mobile number to an AI receptionist while booking an appointment.

You can opt out of text messages at any time by replying STOP to any message from us. You can request help by replying HELP or by emailing [email protected]. Message frequency varies. Message and data rates may apply. Full details are in our Messaging Terms.

Opt-out requests are honoured automatically and permanently unless you subsequently opt back in yourself.

4. When we share information

We share personal information only in the following circumstances:

  • Service providers. With vendors who process data on our behalf under contract and only on our instructions, including our telecommunications and messaging providers, our email provider, our payment processor, our hosting provider, and our calendar and CRM integrations. They may not use your information for their own purposes.
  • Our clients. If you are a caller to a business using our AI receptionist service, the information you provide during the call is passed to that business, which is the party you intended to reach. That business is responsible for its own use of that information.
  • Legal requirements. Where we are required to do so by law, court order, or a lawful request from a public authority, or to establish or defend legal claims.
  • Business transfer. In connection with a merger, acquisition or sale of assets, subject to the acquirer honouring this policy.

We do not sell, rent or trade personal information, and we do not share it with third parties for their own marketing purposes.

6. Your rights

Depending on where you live, you may have the right to:

  • correct information that is inaccurate or incomplete;
  • request deletion of your information;

  • receive a copy of your information in a portable format;
  • withdraw consent at any time, without affecting processing already carried out; and
  • lodge a complaint with your data protection authority.

California residents. We do not sell or share personal information as those terms are defined under the California Consumer Privacy Act, and we have not done so in the preceding 12 months.

7. Security

We use access-controlled storage, encryption in transit and least-privilege access for client material. Only personnel who need access to deliver your project have it. No system is perfectly secure, but we will notify you and any relevant regulator without undue delay if a breach affects your personal information.

8. International transfers

We are based in the United States and our service providers may process information in the United States and elsewhere. Where we transfer personal information out of the United Kingdom, European Economic Area or other regions with transfer restrictions, we rely on appropriate safeguards such as Standard Contractual Clauses.

9. Children

Our services are for businesses and are not directed at children. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us with information, contact us and we will delete it.

10. Changes to this policy

If we make material changes we will update the effective date above and, where the change is significant, notify clients by email. Continued use of our services after a change indicates acceptance.
